We are looking for a Brand Coordinator to coordinate orders, shipments, inventory, vendors, and day-to-day brand operations, ensuring products, materials, and assets move efficiently and accurately across the House.
Your Mission
Working closely with the Associate Director of Studio and cross-functional teams, you will coordinate logistics, NPD shipments, global inventory, vendor and purchase-to-pay processes, and brand stock. You will bring structure, precision, and proactive problem-solving to ensure seamless execution while upholding AMOUAGE’s standards of excellence.
Your Impact
New Product Development and Brand Orders and Shipment Coordination
- Coordinate the end-to-end flow of NPD and BRD shipments, tracking all incoming materials including mock-ups, concentrates, and components, and ensuring olfactory development samples are logged, dispatched, and traceable at every stage.
- Manage picking, packing, and warehouse dispatch processes, prepare and distribute NPD samples to artists and suppliers, and support compatibility testing through timely juice sample submissions and supplier follow-up.
- Ensure mock-ups are properly listed, displayed, and followed up for B2B selling ceremonies and internal review.
- Prepare and process Free of Charge sales orders for events and business needs, securing all required pre-approvals, monitoring budget compliance, and supporting production planning and materials inbound checks for urgent requests.
Brand Department Logistics, Storage and Gifting
- Plan and execute all inbound and outbound logistics for the Brand department, shipping fragrances, raw materials, components, packaging, and production props to and from vendors, agencies, photographers, and event partners worldwide.
- Select and brief couriers and freight forwarders, prepare shipping documentation, commercial invoices, and customs paperwork, and ensure full compliance with the regulations governing the transport of alcohol-based fragrance products.
- Track every shipment through to delivery, resolve customs holds and clearance issues with forwarders and local authorities, and keep stakeholders informed of status and expected arrival.
- Coordinate the retrieval and return of products, props, and materials from vendors, agencies, and partners once a project closes, issuing collection instructions, arranging return shipments, and reconciling what comes back against what was issued, with any loss, damage, or shortfall reported and followed through to resolution.
- Manage the storage of perfumes, materials, and props, maintaining a secure, properly conditioned and clearly coded storage facility, with check-in and check-out control for items issued to vendors and returned after use.
- Run the partner gifting programme, holding a dedicated stock of gifts, sets, and personalisations materials, coordinating assembly and dispatch to partners, press, and VIPs, and keeping an accurate record of allocations and spend.
- Monitor freight and storage costs against agreed budgets, obtaining competitive quotations and flagging cost or timeline risks in advance.
Global Inventory Systems and Stock Management
- Build, document, and roll out a standardise inventory management system covering all Amouage regions (the Middle East, Europe, Asia, and the Americas), establishing a single coding structure, stock-count calendar, and reporting format applied consistently in every market.
- Act as the central point of contact for regional teams, affiliates, and distributors on all inventory matters: issuing count schedules, chasing submissions, consolidating regional returns into a single global stock view, and escalating discrepancies for resolution.
- Maintain the global inventory master file, reconciling regional stock declarations against dispatch and shipment records, and flagging variances, ageing stock, and replenishment needs to the Brand team.
- Create and maintain an organized stock archives system for validated products and displays, with accurate labelling and coding.
- Conduct periodic stock checks and inventory updates for testers, travel sprays, bottles, containers, and related materials across all assigned areas, including BRD stock, the top management office, and the Boardroom.
- Continuously refine the system by maintaining standard operating procedures, training regional users, and improving tools and templates as markets and product ranges evolve.
Vendor Management and Purchase-to-Pay Coordination
- Act as the Brand department's central coordinator for vendor management, onboarding new suppliers, collecting and maintaining vendor documentation, and keeping supplier records complete, compliant, and up to date.
- Raise and track purchase orders on behalf of the entire Brand department, ensuring each is correctly costed, approved, and issued before work commences.
- Collect, verify, and process supplier invoices, matching each to its purchase order and delivery confirmation, and resolving discrepancies with vendors ahead of submission.
- Follow up payments end to end with Finance and Procurement, maintaining a live status tracker for all Brand department purchase orders and invoices, and proactively chasing any item at risk of delay.
- Maintain organise records of vendor agreements, purchase orders, invoices, and payment confirmations, and provide regular status summaries to Brand leadership.
Active Portfolio Management
- Create, curate and consolidate Excel master files, shared databases, and trackers, while maintaining accuracy and consistency.
- Proactively identify opportunities to enhance team efficiency, and streamline communication flows, through new tracking tools, systems, and operational improvements.

Your Expertise
- Bachelor’s degree in Marketing, Operations, Supply Chain or related field.
- 1-3 years of experience in a similar coordination, operations, supply chain or brand support role, preferably within a luxury or beauty environment.
- Strong organizational skills with a high level of attention to detail and rigour in documentation and tracking.
- Ability to manage multiple priorities in a fast-paced luxury environment.
- Proactive and solution-oriented, with a collaborative mindset.
- Excellent communication skills, with the ability to engage and follow up fluidly with multiple departments across the organisation, as well as with regional teams and external partners. This is an outward-facing coordination role that depends on clear and consistent follow-through.
- Fluency in Arabic and English, written and spoken.
- Familiarity with logistics processes, international freight and customs documentation, and inventory management.
- Familiarity with purchase-to-pay processes, including raising purchase orders, invoice matching, and vendor payment follow-up.
- Comfortable coordinating across time zones with international teams, regional partners, and external vendors.
- Proficiency in Microsoft Office, particularly Excel and PowerPoint.
- A genuine interest in luxury, fragrance, and creative industries is highly valued
